Getting started
Can I try the app before entering my own bakery?
Yes. Tap Load sample bakery on the first screen, or later in Settings. It adds a few customers, recipes and orders so you can see quotes, the calendar and the calculator working. Delete the sample items whenever you like.
How do I set up the serving chart?
CakeTally starts with the standard US party and wedding serving charts for round and square tiers, 4 inches tall. Party slices are 1.5 × 2 inches; wedding slices are 1 × 2 inches.
- Go to Settings → Serving chart.
- Pick Party or Wedding, then Round or Square.
- Tap a size and type the number of servings you actually cut from it.
Your numbers are used in every new cake calculation. Sizes that aren’t in the chart, hearts, hexagons and sheet cakes are estimated from the pan area, and tiers taller or shorter than 4 inches are scaled by height. The calculator shows when a number is an estimate.
How does the calculator get to a price?
For each tier it scales your recipes to the pan, prices the ingredients at what you paid, then adds your decorating hours times your hourly rate, packaging and extras like boards, dowels or toppers. That is the cost. Your price is the cost plus your markup, a price per serving, or a fixed price you type. The profit and the price per serving are shown right under it.
If an ingredient is in cups but you bought it by the pound, the app converts it for common baking staples. For anything else it asks for the weight of one cup, so the cost is never silently wrong.
Orders and deposits
How do deposit reminders work?
Each order can ask for a deposit, as a percentage or a fixed amount, due a number of days after you send the quote and never later than the day before pickup. Then CakeTally reminds you:
- Deposit not received: in the morning after the deposit’s due date, if you haven’t marked it as received (1 day after unless you change it in Settings → Reminders).
- Pickup tomorrow: the day before the pickup or delivery.
- Balance at pickup: on the day, if part of the total is still open.
When the customer pays the deposit, open the order and tap Mark deposit received (or tap Received on the medium widget). The late reminder is cancelled and the order moves to Confirmed. Paid and cancelled orders never send reminders.
Marked it by mistake? Open the order, tap the … button and choose Undo deposit. The deposit is cleared, the order goes back to Quote sent and the late reminder comes back.
Reminders are notifications scheduled on your iPhone or iPad. If they don’t show, check iOS Settings → Notifications → CakeTally.
Is there a widget?
Yes, and it is not a Pro feature. Long-press the Home Screen, tap +, find CakeTally and add Orders: the small widget shows the next pickup, the medium one the coming orders with a Received button for a deposit that is due. On the Lock Screen it shows the next pickup.
Dollar amounts stay hidden until you turn on Show amounts in the widget’s settings (long-press it, then Edit Widget), so the counter or Lock Screen never shows what a customer owes.
Why doesn’t the app take payments?
On purpose. The app does not process payments; it prepares your quotes and invoices. Your customers pay you the way they already do, and the money goes straight to you, with no fees, holds or payout delays from us.
Write how you like to be paid in your bakery profile (Settings → Bakery profile → Payment instructions). That text is printed on every quote and invoice. When money arrives, mark the deposit as received or the order as paid, so your calendar, reminders and monthly numbers stay right.
What counts as an “active” order?
An order is active from Inquiry through Quote sent, Confirmed and In progress. Once it is Delivered, Paid or Cancelled it no longer counts. Without Pro you can have 3 active orders at a time and as many finished orders as you like; Pro removes the limit.
Purchases
Is Pro a subscription?
No. Pro is one purchase of $12.99 that never expires. It adds unlimited recipes and orders, invoice PDFs, your own logo without the “Made with CakeTally” line, CSV export, iCloud sync and the monthly summary. Quote PDFs are unlimited without Pro.
How do I restore my purchase?
- Sign in to the App Store with the same Apple Account you used to buy Pro.
- In CakeTally, go to Settings → Restore Purchases.
Pro unlocks again at no charge, on every iPhone and iPad signed in to that Apple Account. If nothing is found, check which Apple Account you are signed in with. Refunds are handled by Apple at reportaproblem.apple.com, because Apple processes the purchase.
Your data
How do I move my data to a new iPhone or iPad?
With Pro: iCloud sync. Turn on Settings → iCloud sync on the old device and let it finish. On the new one, sign in to the same Apple Account, install CakeTally, restore your purchase and turn on iCloud sync. Your bakery appears after a few minutes.
Without Pro: a backup file.
- On the old device: Settings → Backup → Save Backup. Save the file to iCloud Drive in the Files app, or AirDrop it to the new device.
- On the new device: Settings → Backup → Restore from Backup, and pick the file.
The backup holds customers, orders, recipes, ingredients, settings and photos. Restoring adds what is missing and never deletes anything, so running it twice is safe. The backup file contains your customers’ details: keep it somewhere private.
Can I get my orders into a spreadsheet? (Pro)
Yes. Settings → Export CSV makes one file for orders (number, customer, date, status, totals, deposit, cost and profit) and one for ingredients (package price and size, price per unit). Amounts are plain numbers, so Numbers, Excel and Google Sheets add them up directly.
